Instagram Automation for Agencies: Client Setup to Handover

An operating guide for agencies running Instagram DM automation for clients: onboarding, a starter pack of automations, monthly reporting and clean handover.

October 29, 2026 6 min read

Most Indian social media agencies now get the same request from clients: “Can you set up that thing where people comment and get a DM?”. A salon in Indore, a coaching institute in Kota, a real-estate developer in Noida — they have all seen it on other accounts and want it on theirs. For an agency, Instagram DM automation is a service you can add to a retainer, but only if you run it in a way that is repeatable, safe for the client's account and easy to hand over.

This is a practical operating guide for agencies and freelancers running Instagram automation for client accounts: how to onboard, what to build first, how to report, and how to hand over cleanly if the client moves on.

Ground rules before you sell it

  • Official API only. Use a tool that connects through the official Instagram (Meta) API. Never ask a client for their Instagram password, and never use browser bots — if the account gets restricted, it is your agency's name on it. See DM automation safety.
  • Professional account. The client's Instagram must be a Business or Creator account. Check this on the sales call; it saves a wasted onboarding.
  • No cold DMs. Automation answers people who commented or messaged first. If a client wants you to “DM 5,000 followers of our competitor”, say no.
  • Set expectations honestly. Automation speeds up replies and captures leads. It does not create demand on its own; the reels still have to be good.

Onboarding a client in one call

A 30-minute onboarding call is usually enough. Run the same checklist for every client:

  1. Ownership. Keep each client on their own subscription, billed to them, so they own the tool and get the GST invoice in their company name. It makes handover simple later.
  2. Connect Instagram together. The client logs in to Instagram during the connection step themselves, on screen share. You never need their password.
  3. Collect the top 10 questions. Ask the client's front desk or sales person what customers ask most. Those become your DM content.
  4. Agree the hand-off rules. Which questions must go to a human, who replies, and within how long.
  5. Get approved wording. Prices, offers, claims. You write, the client signs off.

The starter pack you build for every client

Standardise a first set of automations so every client launches in a day. A good starter pack:

  • An “All posts” comment automation for price/details/link comments, with a public reply and a DM. Smart Matching picks up word forms and Hinglish sentences like “iska price kya hai” when the keyword is “price”.
  • One reel-specific automation for the client's current campaign. It takes priority over the “All posts” one on that reel, so nobody gets two DMs.
  • A first-DM welcome with three buttons that route people (for a clinic: Book · Treatments · Location).
  • A lead-capture step that asks for a phone number, saved with the Instagram username in the Leads list.
  • Story reply automation for offers and launches.

Industry examples for many of these are in the guides for real estate, ecommerce and interior designers.

Build campaigns into your content calendar

The best agency setups treat the comment keyword as part of the creative, not an afterthought. When you plan next month's reels, plan the keyword and the DM with them:

  • Reel concept → caption call to action (“Comment OFFER”)
  • Keyword and variations → public reply variations → DM with link or button
  • Whether to use follow-before-link (good for giveaways, bad for urgent purchases)
  • End date — when the offer ends, the DM must change the same day

Caption formulas that work are in our reels comment automation page.

Reporting clients actually read

Clients don't want a dashboard tour. They want to know whether it is bringing business. A one-page monthly report can cover:

  • Which reels triggered the most DMs (from the Analytics dashboard)
  • How many people opened the link sent in the DM (from Track Your Links)
  • How many phone numbers were captured in the Leads list
  • What the client's team did with those leads — ask them, and write it down
  • One change you are making next month and why

That last line matters more than any number. It shows you are managing the system, not just switching it on.

Where agencies get into trouble

  • Stale offers. A Diwali discount still going out in January is the most common client complaint. Put offer end dates in your calendar.
  • Replying to complaints with sales DMs. A keyword like “price” can match “worst service at this price”. Review the shared inbox regularly, where comments and DMs sit in one thread, and pass complaints to the client the same day.
  • Answering for the client. Refunds, medical questions, legal or financial questions, negotiations — the automation should hand these to the client's team, never answer them.
  • Overbuilding. A five-level button maze looks impressive in a pitch and loses people in real life. Two or three steps is plenty.

Handover when a client leaves

Agencies lose clients; that is normal. Make the exit clean so they recommend you anyway:

  1. Send a short document listing every live automation, its trigger and what it sends.
  2. Walk them through the Leads list so they know where every captured number lives.
  3. Confirm the JaldiDM account and subscription are in the client's name, and stop using any login they shared with you.
  4. Flag any campaign DMs that will go out of date soon.

Pricing it as a service

How you price your service is up to you; many agencies bundle setup into a one-time fee and include monthly tuning in the retainer. On the tool side, JaldiDM Pro is ₹399/month + 18% GST per account (or ₹3,999/year), and the price doesn't rise with contacts, which keeps client quotes predictable. Pro Plus, with more AI credits, suits a client who wants heavier use of AI replies.

Each client account can start with a 7-day free trial, no card — a good way to run a pilot on one reel before the client commits. Start a trial or read the setup guide first.
