Instagram FAQ Automation: What to Automate, What to Keep Human

A simple FAQ audit to decide which Instagram questions to automate, which need a hand-off and which must stay with a person. With scoring rules and examples.

October 29, 2026 6 min read

The worry most owners have about Instagram automation is simple: “Will it sound like a robot and annoy my customers?” It will — if you automate the wrong things. Automate the right ones and customers just experience a business that answers quickly. The difference comes down to a one-hour exercise: an FAQ audit. Here's how to run one and how to sort every question into “automate”, “automate with a hand-off” or “keep human”.

Step 1: Collect the last 100 questions

Open your Instagram DMs and the comments on your last ten or so posts. Copy every question into a Google Sheet, one per row, exactly as the customer typed it — “kitne ka hai”, “COD available?”, “Andheri mein branch hai?”. Aim for around a hundred. Don't clean them up; the real wording is useful later when you set up keywords.

Step 2: Group them

Add a column called “Topic” and label each row. Typical groups for an Indian small business:

  • Price and offers
  • Link, catalogue or menu
  • Size, colour, availability
  • Delivery, COD, shipping to a city
  • Timings, location, parking
  • Booking or appointment
  • Order status
  • Returns, refunds, complaints
  • Custom requests and bulk orders

Then count each group. You'll usually find a small number of topics make up most of the questions. Those are your candidates.

Step 3: Score each topic with three questions

For every topic, ask:

  1. Is the answer the same for everyone? “What are your timings?” — yes. “Will this suit my skin?” — no.
  2. Does the answer change rarely? Your address changes rarely. Today's stock might change hourly.
  3. Is a wrong answer low-risk? A slightly outdated catalogue link is annoying. A wrong promise about a refund is a real problem.

Three yeses: automate. Two: automate the first reply, then hand over. One or none: keep it human.

Step 4: Sort into three buckets

Automate fully

  • Price and price list for standard products.
  • Product or catalogue link from a reel.
  • Timings, address, Google Maps link.
  • How to order or how to book.
  • Free resources — PDFs, guides, demo class links.

These are ideal for comment-to-DM and keyword-based DM automation. For a person's first DM, an automation can send a short menu with buttons — “Price list”, “Timings”, “Talk to us” — so they pick what they need.

Automate the first reply, then hand to a person

  • Sizing: send the size chart automatically, then let staff help with “I'm usually M in other brands, what about yours?”
  • Booking: send the booking link or collect a phone number; your team confirms.
  • Delivery to a city: send the general delivery policy; a person handles unusual pin codes.
  • Property and course enquiries: send the brochure and ask for a number; a counsellor or agent calls.

Lead capture fits here. In JaldiDM, a phone number shared in the DM is saved with the person's Instagram username in the Leads list, so your team knows who to call. See DM automation for lead generation.

Keep human

  • Complaints, late orders, damaged items.
  • Refunds and returns — anything involving money going back.
  • Negotiation and bulk pricing.
  • Medical, legal or financial advice for a specific person.
  • Anything emotional, sensitive or unusual.

These need judgement. An automated reply here, however polite, tells the customer you didn't really read their message. Our guide to handling negative comments covers the complaint side.

Step 5: Write the automated answers

For each “automate” topic, write one short answer and its trigger words:

  • Topic: Timings and location
  • Keywords: timing, timings, time, address, location, kahan hai, kab khulta
  • DM: “We're open 11 am – 9 pm, Tuesday to Sunday 🙏 Here's our location on Google Maps. Need anything else? Just reply.” [Open map]

Use the real customer wording from Step 1 as your keyword list. JaldiDM's Smart Matching catches word forms and keywords inside longer sentences, but it can only match words you've added. Our Hinglish replies guide lists common spellings.

Where AI fits (and where it doesn't)

Some questions are factual but asked in too many ways for keywords — “do you deliver to Nashik and how long does it take?”. An AI reply that answers only from your own FAQ document can help with those. JaldiDM has optional AI replies that work this way. Keep the same rule, though: the AI handles factual FAQs; complaints and money matters still go to a person. More on our AI DM chatbot page.

Step 6: Review every month

Once a month, read a sample of automated conversations. Look for questions the automation answered wrongly, new questions that came up often, and answers that are now outdated (prices, timings, offers). Update the sheet, update the automations. Fifteen minutes is enough.

The goal

Done right, automation takes the repetitive questions off your team so they have time for the conversations that need a person. Run the audit this week, start with your top two or three topics, and expand from there. When you're ready to set them up, you can try JaldiDM free for 7 days — no card needed.
